Privacy Policy

Sophos Solutions Lab LLC (“we”, “us”) respects your privacy. This policy explains what information we collect when you visit sophossolutionslab.com, use our AI assistant, or contact us — and how we use it.
Information we collect
- Contact form. Your name, email address, company (if given) and your message.
- AI assistant conversations (chat). The messages you type, and your name and email if you choose to provide them.
- AI assistant conversations (voice). The audio of your call and an automatic transcript, plus any details you share, such as your name, company or email. Voice calls require your browser’s microphone permission and start only when you press the call button.
- Booking a call. If you schedule time with us, the details you enter on our scheduling page.
- Usage information. We use Google Analytics to understand how visitors use the site: pages viewed, approximate location (city or region), device and browser type, and which features are used. Google Analytics uses cookies.
- Technical information. Like most websites, our hosting and security systems receive your IP address and basic request information.
How we use it
- To respond to your inquiry and, if you ask, follow up about a possible project.
- To prepare a summary of your conversation with our AI assistant for our team, and to email you a copy only if you ask for one.
- To operate, secure and improve the website and its features, including preventing abuse.
- To understand, in aggregate, how people find and use the site.
We do not sell your personal information, and we do not use it for advertising profiles.
About our AI assistant
Our AI assistant is software, not a person. Its replies are generated automatically and may be imperfect; anything it says about approach or effort is preliminary until confirmed by us. Conversations with the assistant, by chat or voice, are shared with our team so we can follow up, including when you leave a chat without asking for a summary. Please don’t share passwords, financial account numbers, health information or other sensitive information in these conversations.
How long we keep it
- Inquiries and conversation summaries are kept in our business email for as long as needed to respond and to keep a record of our business communications.
- Chat messages are not stored by our website systems after they are processed, other than in the summaries described above. Short-lived usage records (used for rate limiting and to avoid duplicate emails) are deleted automatically within about a week.
- Voice call recordings and transcripts are retained under our account settings and can be deleted on request.
- Analytics data is kept by Google Analytics for up to 14 months.
Cookies and your choices
Google Analytics sets cookies to distinguish visitors. You can block or delete cookies in your browser settings, or opt out of Google Analytics using Google’s browser add-on. The site works without them.
Using the AI assistant, the contact form and the scheduler is entirely optional, and you can choose what to share.
Your rights
You can ask us to access, correct or delete personal information we hold about you, including conversation summaries and voice recordings. Email hello@sophossolutionslab.com and we will respond within a reasonable time. Depending on where you live, you may have additional rights under local law, and we will honor them.
Security
We use reasonable safeguards, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is completely secure, but we work to protect your information.
Children
This site is intended for businesses and adults. We do not knowingly collect information from children under 16.
Changes to this policy
We may update this policy from time to time. The effective date above shows when it was last changed.
